MINUTES OF A MEETING OF THE SCOPWICK & KIRKBY GREEN VILLAGE HALL MANAGEMENT COMMITTEE

HELD IN THE VILLAGE HALL ON TUESDAY 14TH SEPTEMBER 2021

1     Welcome

       Chairman welcomed all after a long break.   Apologies - Mr Richard Martin, Mrs Wendy Stacey    

2     Acceptance of previous minutes

       From meeting on 22nd June 2021. Accepted as correct, proposed Chris Medcalf, seconded Michael Dowse.    

3     Matters arising from previous minutes not on agenda

       Venue finder still to update.  Key list – Liz has new list, passed round at meeting for key holders to sign. Liz will deliver new key to Kate Mason for Brownies and get Sheena Lazenby to sign on Friday at Art Group.    Action RN LB, LB

4     Correspondence

       None    

5     Treasurer’s Report 

        Hall hire income starting again with user groups after their two free sessions. Art Group also had a free session as gave up a Friday. Income £10,372.59 which included £8000 government grant.  Expenditure £3361.89, included Fire check, PAT test (Bain Marie failed and disposed of), window cleaner, outdoor PA and cutlery. £500 spent on Easter gift baskets, paid from a          grant received earlier.

        Consumables, electricity £60, water£65, broadband, £404 on improvements, including sensor lights, flooring, front rails etc. 
        Treasurer asked for approval to renew Broadband and E-On for another year, both due, approved.
       When events start again will need to pay Music licence.
       Village Draw update – a few people have dropped out but a few new ones joined. If collectors have tried to chase up money, membership will cease after 5 emails and if over 3 months behind with payment.    

6     Lettings and Bookings 

       Joe handed out monthly booking sheet from Village Hall website to illustrate the current use of the hall with user groups. Also another sheet which showed individual bookings for hall.

      Of particular interest for the Village is Wed 6th October from 2-8pm a Pre planning application presentation for The Limes by Nick Grace (public relations on behalf of the owner}. There may be presentations at certain advertised times to encourage group interaction. This will be advertised by a letter box drop.
      Enquiry received from Carolyn Higham a qualified primary school teacher living in the village who may be interested in starting up a toddlers group. Preferred day Monday which is currently free. The old Tiddlers toys are still at Beckside House and there is Tiddlers money held in the village Hall account. Storage for toys at hall would need to be discussed if group does start        up. Chairman will put her in touch with Sharon Hedley who used to run the Tiddlers. Agreed that one month free use of the hall to be given to see how it goes.
      Creative pottery sessions booked twice a month.    Action JF


7    Fabric & Fittings 
      a) New Purple bin for paper and cardboard. Rosa has made a sign for kitchen & top of bin. Also placed purple box in kitchen for smaller items for groups to use, hirers to be asked to empty after session.
      b) Crockery count- Tracy will do Sept/Oct count. Cutlery, should be 84 of everything in trays, remainder unopened in cupboard.  Action TF
      Plastering of cracks in Ladies, Tracy has in hand with plasterer lined up to sort it, will mention Gents & ceiling cracks.
      It was decided that a couple more door stops would be good, Rosa will sort.    Action RN


8    Caretaking matters

      Tracy has offered to redo hanging baskets. Rubber seal by cooker needs pushing in. Crystals in cupboard need refreshing.  Decision made to keep old cutlery for use at outdoor village events.   Action TF


9    User Groups update

      Art –numbers picking up slowly, 13-15, some still reluctant. Deposit paid for Art Exhibition Weekend using hall 15, 16 & 17th October. Preview by invitation on the Friday evening, banners will go up soon.
     Bowls – Doing OK, 1 new member, 13 last session. Now using 3 mats, maximum is 6 per mat.
     Fun Fit- Covering costs and all still enjoying it.
     Twinning – nothing yet planned, some interest for a Safari Supper.
     Church – Successful churchyard & church tidy up. Table top sale 25th Sept 11-3pm. Winter Fair 27th Nov. Collection for Food Bank - church porch.   
     Shake it Up – numbers up & down, cancelled last week as too few.
     Hub – this has morphed into a coffee morning coinciding with Odlings butcher at 11am, & green grocer.
     Friendship – going very well, entertained last time by Alan Lazenby & a musical quiz with tea & cake.    


10  Review of Hall’s Covid arrangements

      Broken hand sanitiser unit replaced using one from disabled entrance. Decided to keep signs on Entrance & Exit doors. Users should still be sanitising and using paper towels. Ribbons to be removed from chairs.  Action RN
      Car park sign will be put at front of hall in due course, already one at rear of hall. New bookings should be reminded that they should use car park and not grass verge.    Action JK


11 Village Scarecrow Trail & tea update

     There were not many scarecrows but lots of people joined in the tea and the Boat Race was very popular. £120 was given in donations which covered expenses and Terri & Nigel with a profit of £24. New Best Garden Trophy given by the Parish Council was presented & old Limes trophy presented to Ruth Stephenson as last year’s winner.    


12 Future Events
     a) The Queen’s Platinum Jubilee 2-5th June, Thurs is extra bank holiday & Mon BH put to the Friday, making it a four day weekend. Chairman has received literature form Queens Equerry requesting people join in with the National Celebrations. 2nd is the Jubilee day asking for Town Criers to read out notice at 1pm, 9.09pm Pipers, JF to ask Kirsteen if available, 9.15pm       lighting of Beacon, JF to ask David Nelson if he would organise. It was suggested that this occasion could link with an evening in the hall with some food, photos and music appropriate to the day. National Song competition, details to be announced.  Action JF
     The other day for suggested community events is the Sunday with either a big Jubilee Lunch or Tea, street party. This will be discussed at a future meeting, may form a subcommittee from people in the village.
     b) Christmas – it was decided not to have a Christmas Bazaar or Draw, as Church has a Winter fair on 27th November. Decided that we would have a Christmas Carols and Songs evening at 6.30pm on Wednesday 15th December, Janet to see if Terri & Nigel are available. Mulled wine, mince pies & sausage rolls with donations for a Cancer charity. Could maybe have a         few Christmassy stalls and games.   Action JF
     Other ideas – Spring concert – Rosa will look at Rural Touring options Acton RN


13  Parish Magazine entry

      Pre planning presentation Limes, Hold date for Platinum Jubilee celebrations, amend details on some of usual Scopwick what’s on events.   Action LB


14  AOB

      It was mentioned that some hirers in the hall wanted the volume turned up for music. It needs to be pointed out that there is no need to open box to do this, just need to make sure Bluetooth is connected on their own device and control the volume with that. Action JK
      Rosa will investigate the idea of installing a dishwasher and bring some ideas to the next meeting.  Action RN
      Playing Field Race Night Sat 4th Dec, horses available to buy at £5 each, see Rosa. Action ALL
      Next year’s Grant application for Hall to Parish Council, Secretary will send it off before Nov 1st deadline.   Action LB
